Service reminders

Reminders go out on their own, once a day at your send time, to every customer with a date coming up. They run from the dates on each customer and the units they own.

Set up your first reminder

1. 1Go to Reminders, open the Reminders tab and choose New reminder.
2. 2Pick a ready-made reminder (service due, rego renewal, warranty ending, or after a sale) or start from scratch.
3. 3Choose how many days before or after the date it goes, and whether it goes by text, email or both.
4. 4Change the wording if you like. {first_name}, {due_date} and the other placeholders fill themselves in.
5. 5Save, then switch reminders on with the switch at the top of the page.

Nothing goes out while the switch is off, so you can set everything up first. Choose the time of day they go in Send at.

Follow-ups

Service and rego reminders can follow up if the date passes: turn on Follow up if the date passes and choose how long to wait. Leave the follow-up message blank to send the main message again.

What you can see

• Overview: what’s going out this week, texts used this month, and customers who need attention (for example, no email or mobile).
• Message log: every reminder sent, whether it was delivered, and any replies. A reply creates a call-back task.
• Opted out: customers who replied STOP, used the link in an email, or were stopped by your team. They get no reminders.

Texts and email

Your plan includes 150 texts a month and unlimited email. Each reminder text counts as one, however long. Need more? Buy 100 texts for $10 in Settings → Billing; they’re used once the month’s included texts run out, and never expire. With none left, text reminders pause until the 1st; emails still go.

Tip: Only send reminders to customers who’ve bought from you or asked to hear from you, and keep the opt-out in place. Australia’s Spam Act applies to texts and emails.
